Consent Statements
Waiver of Liability
In consideration of my child’s attendance and participation at Panda Mandarin Language Programs (Trade-named as Panda Mandarin), I, the undersigned, hereby acknowledge that certain risks of injury are inherent in participation of the sports classes and /or other related activities. I agree that the program, and its directors, officers, employees or agents shall not be liable to my child’s injury or any loss or damage to my child’s personal property arising from, or in any way resulting from, my child’s participation in these activities, unless such injury, loss or damage is caused by the SOLE NEGLIGENCE of the programs and the director, officers, agents and employees while acting within the scope of their duties. I understand that I am responsible for informing the School and it directors, officers, agents and employees of any medical conditions that my child has at the time of registration or acquires prior to the week in which my child is enrolled. In the event of emergency, I hereby give permission to the physician selected by the School and its directors, officers, agents and employees to secure proper medical treatment and/or order injections and/or anesthesia for the person named above.
Media Release
I hereby agree and give my permission for Panda Mandarin and/or partners to record, film, photograph, audiotape or videotape my/my child’s name, image, student work, and performance (hereinafter collectively referred to as “Works”) and to display, publish or distribute these Works for the purpose of publishing, posting on the Panda Mandarin website, posting in schools, posting on social media sites and/or for broadcasting as determined by Panda Mandarin.
I hereby waive any right to approve the use of these Works now or in the future, whether the use is known to me or unknown, and I waive any right to any royalties related to the use of these Works.
I understand that the Works may appear in electronic form on the internet or in other publications outside of Panda Mandarin’s control. I agree that I will not hold Panda Mandarin responsible for any harm that may arise from such unauthorized reproduction.
I also understand that external media organizations may attend school events. I give permission for my/my child’s name, image, student work, and performance to be photographed, filmed, audio-taped or videotaped for the purpose of being published and/or broadcast on-line, on television or radio.
Policies
Refund Policy
We offer refunds under the following circumstances:

Before the program starts;

When extenuating circumstances happen, such as a child's behaviour/exceptionalities, health reasons, or family reasons;

Within our Happy Child Guarantee period (3 classes), your child doesn't like the class;

At our discretion, in the rare event when a program or individual classes are cancelled by Panda Mandarin.
In the event of 1 or 2 above, to withdraw from the program and request a refund, parents are asked to please email info@pandamandarin.ca with details of their request. School credit can be issued for cancellations made within 14 days prior to the start of the program. School credit is transferable within families. A $50 administrative fee will apply and a pro-rated refund amount will be issued. Refunds typically take 4 to 6 weeks to process and be issued. If the parent wishes to have a credit towards a future program instead of a refund, no administrative fee will be applied. In the event of a child's behaviour becomes a detriment to their performance and that of other students, we will work with the parents to find a suitable solution to re-engage the child in the class on a best efforts basis. If after a reasonable amount of time and effort has passed and the child's behaviour shows little improvement, and no other reasonable solution is available, Panda Mandarin reserves the right to de-register the student and issue a pro-rated refund, minus the $50 administration fee. The student is welcome to rejoin at a later date as a new student.
Within the 3 class Happy Child Guarantee, we encourage all parents to speak to their teachers if they are finding their child is not satisfied with the classes. At Panda Mandarin, we pride ourselves on our quality programming so our teachers would be more than happy to develop a mutually agreed-upon plan to help improve the learning experience for the child. If by the end of the 3rd class, but before the 4th class, the child is still not satisfied and the parent is still not satisfied, the refund process as describe for events 1 and 2 apply.

In the event of scenario 4, a program cancellation by Panda Mandarin, the parents will be notified no less than one week prior to the start of a class. If a refund is offered by Panda Mandarin in this scenario, the parent can elect for a credit to apply for a future program at Panda Mandarin or a refund to be issued. No administrative fee will be applied in the case of a refund.
Absence and Make-up Class Policy
If a student will be absent, please email info@pandamandarin.ca as soon as possible, preferably at least 48 hours prior to the class, so the teacher can be made aware. Materials from class will be kept for the student until the next class s/he is present.
Panda Mandarin is not obligated to provide additional classes due to student absence. Classes cannot be prorated or credited for missed classes or carried over to following sessions. Should a class need to be canceled due to low course enrolment, all students will be notified in advance, and refunds issued. Please note that make-up classes may be offered at the discretion of the instructor/school and can be arranged only for extenuating situations that make it impossible to attend the scheduled class such as illness or any educational events such as curriculum night, field trips, or graduations. Vacations, birthday parties, or any other events that could be planned outside of scheduled classes are not valid reasons to request make-up classes. Poor or unexpected weather does not qualify you for a makeup class. When make-up classes are absolutely necessary, we do our best to accommodate but it’s not something that could be done regularly.

Please keep in mind that the class is staffed with teacher(s), the space is rented, and materials are prepared regardless of whether a registered student attends. We make all the necessary steps to provide a quality program for all of our students. It is disruptive to both the registered students in the class and the teacher(s) delivering the program. We hope that you understand our goal is to provide the best quality program possible for your child and all the children in our classes. If your schedule has changed which makes attending the registered class difficult, we can certainly discuss an alternative class option with you. However, this depends on class availability.
We do offer "Bring a Buddy" option in case you have to miss a class and would like to give the learning opportunity to a friend. You can email us at info@pandamandarin.ca to let us know and we'll take care of the scheduling for you.
Please also note, refunds are not issued with missed classes.
General Classroom Policies

Panda Mandarin reserves the right to combine or cancel classes due to low enrolment.

There are no classes on all statutory holidays. Program teachers will remind you prior to a long weekend.

Parents are to wait in the reception area. For programs designed with parent & child in mind, parents will be in the classroom as part of the learning experience for the students. The same situation applies for trial class participants as well.

For programs designed with parent and child in mind (Babies/Minis/Bananas), only one parent/caregiver is allowed to join the class with their child. This is due to space constraint and fire hazard prevention to ensure everyone's safety.
Trial Class Cancellation & Reschedule Policy
Parents may change their trial class no later than 24 hours, because we’ve prepared the materials for the parent and only book limited number of trials per time slot. Emergencies would be exempt from this policy.
To request a trial class reschedule, please send an email to us at info@pandamandarin.ca with your availabilities. We will reschedule a trial class accordingly.
Late Fee Policy
Fees must be paid prior to the first day of class to complete the registration. Spots aren’t guaranteed until we receive the payment. There will be a $50 late fee if parents fail to pay the complete fees within the first week of class.
Late Pick-up Policy
If you/caregiver arrive after class dismissal to pick up your child, you'll be charged $5 per minute for the first 15 minutes (invoiced at the end of the month). This may seem harsh but when you're late, the teachers are late and the custodians will be delayed. The money will go straight to the teachers and any custodians affected who had to stay late to wait with your child. At 10 minutes post class dismissal, we will contact you and/or your secondary/tertiary pick-up personnel to come immediately. Please make sure that we have your correct mobile phone number on file. We hope it will never get this late but beyond 30 minutes without any contact from you or anyone from your pick-up list, then we are required to call Children's Aid Society. Please note that we will not waive this fee for inclement weather, please plan accordingly.
